Assistant Medical Staffing Manager (AMSM) Job Description
AMSM duties include, but are not limited to the following:
- To provide an effective administrative support service to a number of designated Medical Staffing Managers (MSMs).
- To work as part of a team committed to delivering a high quality doctor service to the patients at NES’ client hospitals.
Responsibilities relating to client hospitals in the portfolio:
- Maintain and edit the consolidated NES hospital spreadsheet (‘the Roster’) to ensure that it accurately reflects past, present and future staffing at the client hospitals, including detailed arrangements relating to handovers and travel as appropriate.
- Ensure that all information entered into the Roster is accurate and exhaustive so that work done within the portfolio can be followed in detail by others.
- Arrange accommodation where necessary for doctors that are shadowing a colleague or who require this as a result of the normal arrangements at the hospital.
- In conjunction with the Administration team, provide hospitals with all the necessary documentation in support of an incoming doctor (eg. CV, references, ACLS and APLS certificates, Occupational Health Clearance) prior to their arrival at the hospital.
- Maintain effective lines of communication and feedback between the Company and its clients and doctors.
- Ensure all client contact details are updated accurately on the Company database.
- Annual Customer Satisfaction reviews sent and collected accordingly.
- Monthly schedules sent to all clients a month in advance and updated accordingly upon request
- Ensure all relevant information is recorded on the Company database.
Responsibilities relating to doctors in the portfolio:
- Ensure all doctors’ contact details are updated accurately on the Company database.
- Annual Doctor Performance reviews sent and collated accordingly.
- Ensure all preparation is accurate and ready for each doctors allocated standby assignment (contact details updated, NES position added to CV, documentation updated and re-scanned in, Roster annotated, payments checked)
- Assisting with the obtaining of clinical statements from doctors.
- Deal with any other issues arising from the doctors’ perspective in relation to the service NES provides.
- Administrative duties relating to doctors starting or finishing their employment with NES.
Responsibilities relating to the recruitment process:
- Liaise, co-ordinate and communicate with the Recruitment Teams (including external agents) by telephone and email.
Responsibilities relating to Finance:
- Input all Monthly Expenses accurately for submission to Finance each cut off
- Ensure all standby payments are correct and submitted each cut off
- Liaise with doctors in respect of their automatic enrolment into the pension scheme.
Other general responsibilities:
- Ensuring all filing is kept up to date.
