Studio Administrator/Co-Ordinator for Soft Furnishings & Interiors business
Job Description & Responsibilities
- Client Boards including writing up sheets for each client, updating regularly with required information, adding notes where required. Boards consist of front information sheet, most up to date quote, making sheets
- Client quote reviewing, emailing clients for updates on whether they wish to proceed with their quote and updating Xero on this.
- Monthly supplier invoices including printing, paying invoices, filing, invoice queries and credit notes, plus reconciling on Xero (Monthly)
- VAT organisation for Book-Keeper (Quarterly)
- Client invoices, including creating, personalising per individual client, emailing out to client ideally 48hrs prior to fitting. Also chasing client payments prior to fitting.
- Sending receipts to clients post payment, including thanking them for their business and asking for a testimonial/review/recommendation.
- Fabric books, yearly price updates for existing books, adding current prices to new books as they arrive, updating price lists to the computer, any actual price books place in filing cabinet and regular updating of filing cabinet.
- Studio house-keeping, including organising equipment & tools, organising stock, sorting out linings, interlinings and fabrics by size. Hoovering, cleaning, dusting when necessary.
- Ordering client fabrics, trimmings & supplies
- Receiving fabrics/supplies labelling to each client following an inspection of fabric and size. Organising returns of any faulty fabrics/supplies, including making notes on client boards.
- Organising stationery including printer ink, files, paper, packaging for ordering
- General admin inc printing monthly timesheets, curtain making sheets
- Assisting Makers on studio making tasks as required i.e sewing, tracks, measuring and prepping fabrics/Linings’s busy times (training given)
Additional Tasks
- Organising outsourced orders for sub-contractors/suppliers including writing up job sheets with accurate details, photos and information per client
- Organising fittings, liaising with clients and booking in with fitters/contractors
- Organising inventory for quoting.
Experience and skills required For ideal candidate will have the following;
•Great organisation skills required
•Be computer and have experience of using Microsoft office
•Great communication skills and telephone manner
•Innovative and can do attitude
•Sewing skill (preferred but not essential)
Job Types: Part-time, Permanent
Part-time hours: 15 per week
Salary: £10.00-£12.00 per hour
