Outline of the role
This role will see you being based on one of our sites, with responsibility for the day-to-day administrative and reception duties. You will work alongside the Site, Community, HR, SHEQ, Quality, Finance and Commercial teams to ensure all administrative duties are completed in a clear, methodical and timely manner.
As a Site Administrator you will be responsible for
Reception, main point of contact for all visitors to site / Front of House. Duties include.
- Be first point of contact, dealing with clients and customers in a professional and friendly manner via email and face to face and ensure all visitors sign in at Reception
- Look after any visitors on site making sure they have signed in and out and have the correct PPE etc
- Carry out general office duties including photocopying, distributing documents, distributing incoming and outgoing mail and deliveries as required.
- Take responsibility of Petty Cash.
- Organise and book meeting rooms and conference calls.
Site Administration, Main contact for all site related admin. Duties include.
- Manage stock levels and order office supplies, PPE equipment and consumables for the site.
- Attending and minuting meetings.
- Manage delivery dockets / notes / LPOs and official purchase orders.
- Preparation and submission of monthly reports.
- Keep project organogram up to date.
- Keep project contact details up to date.
- Organise travel, meetings and other client-facing activities.
- Manage site facilities.
Working alongside the other divisions of Farrans:
- To assist the Document Controller and Site Administration team, with coordinating all activities related to the document control procedure (RAMS & Permits), including technical documents, drawings, and commercial communications
- Support the Community Benefits Coordinator / Partner delivering Social Values for the project
- Support the Commercial, SHEQ, Finance department on the project
- Assist the Environmental designee
- Be main point of contact for HR admin for the site

Your required Skills and Experience
- Prior experience in an administrative or support role
- Sound working knowledge of the complete Microsoft Office suite
- Excellent interpersonal skills and able to quickly build strong working relationships
- Ability to organise your own workload, filing methods and work in a clear and logical manner
- To meet deadlines without compromising on quality
- Capable of working on own initiative whilst working in a team environment.
- Able to prioritise, multi-task and an understanding of deadlines and working to achieve these
- Capable of working on own initiative whilst working in a team environment.
- Confident in asking questions, seeking and clarifying information and have an enthusiasm to learn new experiences and be supportive of and part of a hard-working team.
