The Role
· Contract Delivery: Support the Contract Management team with relevant administration tasks to meet and exceed the agreed contractual Key Performance Indicators and Service Level Agreements throughout the contract lifecycle. This may include administrative aspect of Planned Preventative maintenance task planning, reactive call management and management of quoted works. Assist the Contract Management team in the delivery of the contract including a strong Health and Safety culture.
· Invoicing: Carry out invoicing processes in line with contractual payment terms to ensure all chargeable works carried out are captured and submitted for invoicing in a timely and accurate manner including the provision of job packs to substantiate applications for payment or invoices where required. Assist in the production of financial information and reporting.
· Admin & Reporting: Understanding and utilisation of the contract CAFM system. Ensure all engineer paperwork is quality checked and uploaded as required. Provide reporting/updates to operational teams or others, including the customer, as necessary to demonstrate the fulfilment of contract requirements. Production of data for inclusion within monthly report to customer in relation to both operational, health and safety and commercial aspects.
· Commercial: Gain a good understanding of the contract and its obligations in particular relating to invoicing, reporting, KPIs, annual uplifts, chargeable work and change control. Support the Contract Manager and, where required, the commercial team to progress these aspects for agreement with the customer.
· Supplier Management: Liaising with suppliers regarding visits to site, obtaining quotations for additional work, ensuring value for money, where required. Ensure orders are issued in accordance with company procedures to subcontractors and suppliers in advance of work being undertaken. Ensure the timely processing of supplier invoices and the prompt resolution of supplier invoice queries. Support the Contract Manager in the management of suppliers, including ensuring appropriate documentation is received and validated for work or services delivered.
· Financial Performance: Work closely with the Contract Manager to support all WIP and Contract Review processes relating to the contract. Ensure accurate processing of quotations, purchase orders, invoices, time sheets and forecasts.
Hours of Work
- Monday to Friday, 7.30am - 4.30pm, 40 hours per week

Qualifications and Experience Required
· Experience working as a Contract Administrator within an FM environment would be highly desirable
· Strong administration duties
· Excel and Microsoft experience
