Job Introduction
HMP Lowdham Grange are looking for a Personal Assistant to Prison Director, to join our dedicated team! If you are an experienced PA with attention to detail, this could be a great opportunity for you.
You'll be responsible for organising diaries to optimise the use of the Director time, whilst ensuring their meetings are managed effectively and seamlessly. You’ll respond appropriately to all communications and provide effective secretarial support to selected meetings.

Sodexo are responsible for 6 prison sites across the UK and Scotland and HMP Lowdham Grange is our newest prison that we have just added to our portfolio! The prison is currently operated by Serco, and we will be taking over the contract on the 16th February.

Main Responsibilities
- Handling and responding to all correspondence including phone calls, emails, and letters
- Scheduling appointments for organising diary entries
- Setting reminders for meetings, appointment, and other important tasks
- Making travel and hotel arrangements
- Planning events including conferences, workshops, seminars, and other events
- Taking note sin meetings, preparing the minutes, and subsequently distributing the final version to all participants
- Preparing expense reports
- Maintaining an effective, secure filing systems and any associated databases
- Collating and driving the site Employee Engagement plan
- Raise purchase orders as required.
- Support communication plans and campaigns to encourage employee engagement, staff retention and raise awareness and understanding of Justice messages.
- Responsible for all administrative duties as required by the Prison Director, ensuring the function is run efficiently and cost effectively when performing work as required and planned.
- To work closely and co-operate with colleagues in other areas to ensure the safe and smooth running of the prison.
- Abide by the corporate strategic directions, Contract Delivery Indicators, service specifications and all appropriate Regulations and Health and Safety Policies.
- Co-ordinate external and independent audits.
- To be part of a multi-tasked administrative team, to provide a service to the men and colleagues at HMP Lowdham Grange as a whole. This will include providing cover for other areas of administration as requested.
- To carry out any other reasonable request(s) made by the Lowdham Grange SLT.

£28,000 - £30,000 per annum
