The Post:
We have an exciting opportunity to join Public Health Scotland as Personal Assistant to Chief Executive. Your role as Personal Assistant is to manage all aspects of the general running of the Chief Executive personal office. You will be responsible for supporting the Chief Executive to fulfil their role as a key influential figure in the delivery of the PHS Strategic Plan.
You will provide a comprehensive and high quality secretarial, clerical, and administrative support service to the Chief Executive. This includes diary management, co-ordinating meetings, and undertaking all other duties as PA to ensure the Chief Executive can use their time to drive forward the organisation’s strategic priorities.
You will proactively deal with the Chief Executive’s mail, assessing the relevance of the subject matter, identifying priority, and actioning incoming and outgoing mail. You will draft responses using discretion and initiative.
The Candidate:
You will be experienced and able to manage the multiple demands of the post with clarity and skill in order to ensure that results are achieved to a high standard and to time. You will have experience of dealing with a high volume of high-stake matters simultaneously, prioritising competing demands, and negotiating effectively with colleagues across the organisation. You will be skilled in dealing with tricky and sensitive situations, and in managing issues that impact on business-critical work of the organisation.
You will have a degree in Business Administration or equivalent extensive experience of general administration, secretarial and project work.
Location and Working Pattern:
PHS are currently hybrid working; being a blend of home and office based. The location for this post is Gyle Square, Edinburgh.
The nature of duties associated with this post will require the post holder to work regularly in the office around 3 days a week, less frequent attendance at other locations may also be required to support the work of the Chief Executive.
Work pattern is Monday to Friday. During times of public health emergency, or other urgent business need, you may be required on a temporary basis to work your normal contracted working hours over 7 days including weekends, in order to meet the needs of the service.
It is a condition of this employment that you must live and remain a resident within the UK for the post in which you will be employed with PHS.
