Job Description

An exciting opportunity has arisen to join our very busy outpatient team as an Apprentice Clinic Preparation Clerk.

Are you patient focused, enjoy attention to detail; have a proactive approach; able to work to challenging deadlines providing an exceptional service to our patients, clinicians, and providers, we would be happy to hear from you.

Main Duties of Role are:
Ensure all documentation relating to patient clinics are prepared and delivered to the appropriate department within agreed timescales in line with respective guidelines and procedures

To request casenotes from the Health Records Department, other hospitals, departments and sites as per departmental guidelines

Tracking of clinic documentation to help ensure the smooth running of Out-Patient clinics

Ensure that casenotes and associated documents are properly maintained in a complete, orderly and accurate state, thus ensuring their suitability for use by medical and nursing staff

As this is an Apprentice post as well as learning and performing the job role you will also be studying and completing the Level 3 Business Administrator Apprenticeship. Please be advised if you already hold a qualification in Business Administration or higher you are NOT eligible to apply.

To provide a high-quality service, ensuring the timely provision and appropriate preparation of health records for out-patient clinics.

To follow Standard Operating Procedures (SOPs) which describe how the functions of this role will be carried out along with the timescales that will be adhered to.

To work as part of the team providing cover for colleagues during sickness and annual leave where appropriate.

Under the leadership of our Chair, Jacqui Smith and Matthew Trainer, our Chief Executive we provide care for the residents of three diverse London boroughs. More than half of our 7,500 strong workforce are from black, Asian and minority ethnic groups and most live in Barking and Dagenham, Havering and Redbridge.

Our services include all the major specialties of large acute hospitals, operating from two main sites - King George Hospital in Goodmayes and Queen’s Hospital in Romford. We also provide outpatient services at Brentwood Community Hospital, Barking Hospital, Loxford Polyclinic and Harold Wood Polyclinic.

As we recover from Covid-19, we’re proud to be leading the way in reducing the time our patients wait to get the treatment they need. The pandemic provided the drive for our teams to innovate and change.

We know we have more work to do to improve waiting times for urgent and emergency care, and this will be one of the many benefits of our closer collaboration with Barts Health. Working with them and with all our partners across north east London, we will find a sustainable solution to enhance patient care.

We are particularly proud of our regional Neurosciences Centre; Radiotherapy Centre; Hyper Acute Stroke Unit; and dedicated breast care service at King George Hospital. We’re also pleased to be part of the NEL Cancer Alliance.
