Operations Coordinator (Neurodevelopmental Team).
ProblemShared is an online platform designed to provide individuals with better access to mental health services. The Neurodevelopmental (ND) Team works with referring partners to facilitate Autism and ADHD assessments, as well as ongoing support for individuals with a positive diagnosis. The ND Team is expanding and looking for an Operations Coordinator to provide support to ensure the smooth running of the ND Service.
This role would suit a proactive individual with experience in providing administrative support in a busy team environment. Although not essential, candidates with a background in working with individuals with mental health needs are encouraged to apply.
Overall responsibilities will include:
Practitioner onboarding and support
- Setting up new practitioners on Semble and other ProblemShared systems, including creating their professional profiles, collecting signatures and biographical information for use in assessment reports.
- Providing an operational induction to the Semble platform and other company systems for new practitioners and creating supporting materials.
- Working with the Operations Manager to be the first point of contact for any practitioner enquiries.
- Managing practitioner availability to ensure clients can access ND services in a timely manner
- Monitoring availability and volume of assessments to flag recruitment needs in good time.
Team administration
- Supporting the Operations Manager to ensure the smooth and efficient flow of ND clients through their ProblemShared journey.
- Ensuring client records are maintained with up to information.
- Accurately recording client actions to allow for precise reporting.
- Developing an understanding of the nuances of the different pathways available to ND clients to appropriately respond to client queries.
Client support
- Enrolling new clients into ProblemShared’s ND pathway
- Co-ordinating and providing welcome meetings for all new clients enrolled for each partnership.
- Booking in assessments and ensuring clients are clear on what to expect, when their appointments will take place and how to access the session.
- Ensuring clients receive their pre-assessment packs and appointment information at least 10 days before the assessment and that sessions are booked into the system.
- Liaising with clients to action any changes to appointments and diary management.
- Ensuring reports are completed on time, formulated and professionally presented, quality checked and sent on to service users within agreed KPI’s.
Salary: £28,000-30,000
